The Library anticipates notifying the preferred vendor during the week of August 17, 2026 and moving into contract negotiations. Contract execution timing will depend on final contract negotiations and any required approvals.

The Library currently utilizes ADP Workforce Now for Core HR, Payroll, Time Management, Recruiting/Applicant Tracking, Learning Management, Reporting & Analytics, Talent Acquisition, Performance Management, and Voice of the Employee. The Library also utilizes Sage Intacct as its financial management system.

The Library expects employee records and payroll history to be converted into the new system. The Library would also prefer to convert time and attendance history but is open to vendor recommendations regarding the approach and practicality of doing so. For performance reviews and learning records, the Library is open to vendor recommendations regarding available conversion options. The Library currently has approximately two years of performance and learning data. Vendors should identify any assumptions, limitations, or recommendations related to their proposed data conversion approach.

Yes. Shortlisted vendors will receive demonstration scenarios and presentation instructions in advance of the demonstration phase. The Library's internal evaluation methodology and scoring process will remain internal.
